Parkland Field App (the “App”) is developed by VEMAX Management Inc. for authorized users of Parkland County. This Privacy Policy describes how personal information is collected, used, and protected in accordance with applicable laws, including Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), and Apple App Store requirements.

1. Information We Collect

We collect only the minimum information necessary to operate the App:

  • Contact Information (Email Address)
    Collected when users create or access an account.

  • Precise Location (GPS Coordinates)
    Collected when users access map-based features within the App.

2. How Information Is Used

We use collected information solely for the following purposes:

  • App Functionality

    • Account creation, authentication, and management

    • Enabling map features and location-based services

  • Service Operations

    • Maintaining, troubleshooting, and improving App performance

3. Data Sharing and Disclosure

Information is shared only as necessary to operate the App and deliver services to Parkland County.

  • Service Providers
    We use a third-party service provider (Supabase) to securely store and process data on our behalf. This provider acts solely as a data processor and does not use the information for its own purposes.

  • Parkland County Access
    Information is made available to Parkland County for internal operational and service delivery purposes.

  • No Sale or Advertising Use
    We do not sell personal information or share it for advertising or tracking purposes.

4. Data Retention

Personal information is retained only as long as necessary to:

  • Provide App functionality

  • Meet contractual obligations with Parkland County

  • Comply with legal requirements

When no longer required, information is securely deleted or anonymized.

5. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, loss, or misuse.

6. Your Rights (PIPEDA)

Under PIPEDA, users have the right to:

  • Request access to their personal information

  • Request correction of inaccurate information

  • Withdraw consent, subject to legal or contractual restrictions

7. Consent

By using the App, users consent to the collection and use of information as described in this Privacy Policy. Location data is collected only when required for App functionality.

Personal information is stored and processed using a secure cloud infrastructure provided by our service provider (Supabase). Data may be processed in Canada or other jurisdictions where the service provider operates. All such processing complies with applicable privacy laws, including PIPEDA, and appropriate safeguards are in place.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be made available within the App or through other appropriate channels.

11. Data Collected Through User Submissions

The App may collect additional information entered by users (such as asset inspection details, notes, or work-related data) as part of Parkland County’s operations. This information is not used for tracking or marketing and is processed solely for operational purposes.
